What we collect
From the contact form and email: name, email address, the study you selected, team or floor size if you give it, a preferred visit week, and the message you write. From a booked study: sponsor and participant names, roles, interview notes, and whatever personal data appears in the consented exports you send (typically names in calendar attendee fields). We do not ask for identity-card numbers, health records, or bank passwords. We do not read private direct messages.
Why we use it
To reply to enquiries, quote and run a study, write a briefing for the sponsor, keep engagement records, and meet Malaysian legal duties (tax, contracts). The lawful bases we rely on are steps toward a contract, our legitimate interest in running a careful practice, and consent where you accept optional cookies. Observation notes describe behaviour on a floor; they are not a dossier on a person, and we do not supply them for disciplinary use.
Retention
Unsuccessful enquiries are kept up to 12 months. Quote letters, invoices, and paid briefings are kept for seven years to meet ordinary accounting expectations in Malaysia. Observation notebooks and export files are deleted or returned within 90 days after the final briefing unless the letter asks us to hold them longer for a follow-up session. Cookie choice in your browser lasts until you clear storage.
Who we share with
We do not sell lists. We may use an email host and an accountant bound to confidentiality. If a study requires a translator we name them to you first. We share a briefing with the sponsor who hired us, not with a parent company or landlord unless you instruct us to.
International transfers
Our practice rooms and primary files sit in Malaysia. Email or backup services may store copies on servers outside Malaysia. Where that happens we use providers that offer a reasonable contractual standard of protection. We do not send interview notes to an overseas analytics product as a matter of course, because that is not how the studies run.
Your rights
You may ask what personal data we hold, ask for a copy, ask us to correct it, or ask us to delete it where we have no duty to keep it. You may object to our using legitimate interests, and you may withdraw cookie consent. Write to info@workspace-mapbase.digital. We respond within 30 days. You may also complain to the Personal Data Protection Commissioner of Malaysia.
Children
Our studies concern adult workplaces. We do not knowingly collect data from children through this site.
Changes
If this notice changes in a material way, we will date the update on this page. Continued use of the site after that date is an acknowledgement of the revised notice.
